Job Description:

Position Overview:

Responsible for assisting Service Department and dealers with warranty and policy procedures and information as well as writing and processing warranty claims.Work requires attention to detail, initiative and ability to work independently with minimum supervision.

Principal Duties and Responsibilities (Essential Functions):

  • Reviews service invoices for warranty information.
  • Assists Service Department with warranty and policy procedures.
  • Assists dealers with warranty and policy procedures.
  • Approves and processes distributor and dealer warranty claims.
  • Writes/processes warranty claims for Service Department.
  • Check and validate coverage for valid warranty claims
  • Code and process service warranty claims
  • Maintain files & logs
  • Follow up on status of claim including disposition, correction of claim errors; communication with factory and branches for resolution including re-filing claim if necessary.
  • Prepare parts return list and update shipping information.
  • Review and process warranty credits to A/R.
  • Maintain and track progress of warranty WIP.
  • Meets with manufacturers' representatives to stay current on all new procedures.
  • Regular attendance is an essential function of the job.
  • Performs other duties as assigned.

    Qualifications & Skills:

    • Excellent oral and written communication skills.
    • Excellent organizational skills.
    • Must understand basic mechanical terminology.
    • Good aptitude for numbers.
    • Strong general office background required.
    • Experience coordinating and processing paperwork required.
    • AS400 experience a plus.
    • Ability to work effectively with others using good interpersonal skills.
    • Must have good phone etiquette.
    • Must understand basic mechanical terminology.

    • Analytical ability to resolve issues where problems are not difficult or complex.

      Education & Experience:

      • High school diploma or GED and/or equivalent combination of education, experience and training that has provided knowledge, skills, and ability necessary for satisfactory job performance.
      • 1-3 yrs related experience.
      • Product knowledge and/or mechanical aptitude.

        Work Environment

        While performing the duties of this job, the employee is in an office environment.May use computer keyboard and monitor for over six hours a day; high volume use of telephone and computer.

        Physical Requirements:

        The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

        • Must be able to lift up to 5 pounds independently
        • Requires sitting for an extended period of time
        • Requires excellent visual acuity and manual dexterity.
        • Requires the ability to hear and speak with others in-person or on the phone.
